ABOUT THE OPPORTUNITY:
This position is responsible for providing superior administrative support for Senior Managing Directors/Managing Directors and other leaders as assigned. Candidate will perform all administrative functions and will require the ability to successfully balance assignments and a variety of tasks from multiple individuals. This role will be responsible for routine and non-routine tasks and will require independent judgment to plan, prioritize and organize workload. Candidate may interact with Clients and other FTI executive leaders and will be required to maintain absolute discretion and confidentiality as would be expected of a professional in this role.
General Administrative Duties
• Maintain calendars and contact lists in Outlook; update as needed
• Coordinate meetings, logistics, schedules, conference calls
• Coordinate travel arrangements
• Create and maintain paper and electronic files
• Assist with the development of PowerPoint presentations
• Collect and file political contributions (LD 203's) for registered lobbyists
• Coordinate Strat Comm DC office events
• Select and coordinate catering for meetings and special events
• Collaborate with general manager for office functions
• Coordinate with MD's and SMD's for political fundraisers
• Answer phones, take messages and fulfill requests as necessary
• Respond to various verbal or email requests in a timely manner
• Liaise with front desk reception and facilities/office manager
• Ensure that visitors have access to FTI suite, office, etc.
• Ensure staff's office maintenance/miscellaneous needs are resolved
• Package delivery/pick up
Financial Administration Duties
• Set up new clients/manage Salesforce and contracts
• Assist with client invoice processing, vendor setups
• Expense reports (Chrome River software)
Technology Application
• Create documents, reports, spreadsheets using Microsoft Excel, Word and PowerPoint
• Search Intranet/Internet to gain and provide information
Reception (May be required occasionally in FTI Offices)
• Perform general reception duties and/or back-up reception duties as applicable
• Receive visitors and handle inquiries as appropriate
REQUIRED SKILLS/CHARACTERISTICS:
• Capacity to multi-task, prioritize work load and effectively manage time
• Ability to work in fast-paced, deadline driven environment and able to respond to requests/needs in a timely manner
• Demonstrate professional and effective verbal and written communication skills
• Work effectively as part of a team when required; be flexible with independent tasks
• Perform all tasks with attention to detail and review for accuracy
• Maintain courteous, professional manner with internal and external stakeholders
• Proficient in Microsoft Office application (Excel, Word, PowerPoint)
• Reliable/flexible to work outside of standard hours (occasionally)
BASIC QUALIFICATIONS:
• Bachelor's Degree preferred; minimum of 2 years of college required
• Minimum 3+ years of solid administrative support experience required, experience in professional services environment preferred
