Position Overview
The Licensing Coordinator is the site liaison, responsible for assisting the Licensing Manager to support the development and management of the domestic Health Insurance Agent (Pre-licensing) program.
Duties and Responsibilities
Work closely with cross-functional groups (including different sites, Licensing Manager, Human Resources, and Site Management) to drive program execution, reporting and tracking, onboarding new licensees
Assist in development of materials and agent and/or licensee updates, including data gathering, and analytics
Qualifications
• Ability to multi-task, prioritize and meet deadlines a must
• Intermediate Microsoft Office and Excel Required
• Project management skills required
• Maintain all necessary records and update it on systems and conduct various interviews and prepare all required statements.
• Maintain knowledge of all tests for all prospective customers and manage all calls from public and provide appropriate response for all issues.
• Provide optimal level of customer services in coordination with public, members and solicitors for all licensing activities.
• Perform investigation for all inquiries and prepare all reports for licensing sub-committee.
• Participate in various committee meetings and manage all correspondences with all customers.
• Administer all licensing renewals and inspect all requirements for same within require timeframe.
• Ensure equality of council and coordinate with team members and prepare strategies for all cover arrangements.
• Evaluate all counter signatures for all criminal records bureau and prepare all documents for all purchase order.
• Manage all invoices and renewals and maintain records of all payments and coordinate with content provider to resolve all pricing and payment issues.
• Develop and maintain professional relationship with all library members and subscription agents and collect all information for licenses and assist to set up an efficient showroom.
• Prepare and process all expense reports and manage all payment requests and maintain knowledge of all financial budget and track for same and make all required arrangements for travel.
• Administer and process all pre-applications for various state licenses.
The Licensing Coordinator will need a locking file drawer in a locked office. They will have to store documents with sensitive personal data. Once the agent is good to go, the file can be transferred to HR and added to the employees file, if you prefer, or the licensing department can keep it, as long as it is secure.
The Licensing Coordinator will also need Microsoft Office or at least access to Office 365, and the ability to share their screen in Lync. There are a few other small programs that are good to have, such as CutePDF, which allows users to save printed files as PDF's.
The personal computer that the Specialist is working on, needs to be encrypted by IT () and will need to be identified on the outside of the CPU as a licensing unit. If this CPU is removed from the licensing department, it will need to be wiped clean of all stored documents. The PC must also be kept locked whenever the Licensing Coordinator is away from their desk.
Their email has to have some storage capability. Departments will be sending lots of files back and forth and they will need to save emails. Also, internet access needs to be fairly unrestricted. There are many websites that need to be accessed.
Note: The nature of a licensing coordinator is seasonal, but core license agent retained year round have licensing needs including renewals and CE's due to maintain licenses. During build times, the Licensing Coordinator will need to be 95% dedicated to Licensing due to the amount of work necessary to process licenses. (typically May through October). During this time, the Licensing Coordinator will assume additional roles assisting with site duties, provide supervisor/quality back up and other ad hoc projects.
