Overview: Perform front-desk receptionist duties in a corporate environment. Responsible for receiving and routing all incoming calls and management of visitor requirements in accordance with and adherence to corporate security guidelines. Provide meeting space and conference requirement support. Implement new processes to ensure adherence to company visitor and security standards and quality customer service. May be responsible for moving of up to 50 lbs. and assistance with facilities requirements to include climbing a small ladder.
Essential Job Functions of this Position:
- Manage all incoming calls and the disposition of those calls for executive level and corporate staff, utilizing proper professional telephone etiquette
- Greet all incoming visitors, ensuring U.S. citizenship and visit procedures, and direct appropriately
- Interface with all levels of customer, including contractor, civilian, and military personnel
- Complete daily opening and closing procedures
- Manage scheduling of conference rooms and conference room requirements including ordering conference lunches
- Interface with corporate security personnel for adherence to security guidelines including verification of clearances, badging, and maintenance of visitor lists
- Maintain supplies inventory and order office, kitchen and IT supplies as requested/needed per the Ausley Purchasing process.
- Oversee the organization of the copy rooms, supply cabinets, and storage closets
- Maintain, update, and distribute corporate personnel roster
- Manage incoming and outgoing mail and shipping requirements.
- Interface with corporate departments for coordination of new employee requirements
- Assist with coordination of corporate events
- Work with outside vendors as corporate needs require for management of facilities and other requirements
- Reconcile corporate purchase receipts
- Perform other corporate duties as required.
- Attend meetings as required
Qualifications - Education and Relevant Years of Experience
High school diploma or GED is required and one (1) to two (2) years as a receptionist or in an office management role is required. Candidate should be capable of working in a dynamic environment, managing multiple requirements with changing priorities, while maintaining a professional demeanor. Must be flexible to work varying hours during the day and be open to a changing schedule with little notice.
Must have the ability to obtain and maintain an active Secret security clearance.
