About The Roll

We are involved in complex, global and high-profile litigation, arbitration and investigations combining end-to-end risk advisory, investigative and disputes expertise to deliver holistic solutions for our clients.

What You'll Do

Work closely with engagement leadership throughout the project lifecycle with primary objectives of:
  • Reducing and maintain Days Sales Outstanding (DSO) at target 75 days
  • Insuring timely, accurate and professional invoices are sent to clients
  • Reducing the amount of time billable professionals spend on project management administrative tasks

Matter Setup - Insure:
  • Contract terms are captured accurately in CRM and Financial systems (e.g., fee arrangement, rates, taxable jurisdiction, admin fee)
  • Necessary approvals are documented and archived (e.g., exception rate approvals)
  • Amendments to contract terms are flagged and necessary supporting documentation is obtained and archived
  • Necessary information for billing is documented (e.g., client contact info, e-billing system and/or contract requirements)
  • Information necessary for revenue recognition is archived
  • Set up of required task codes for time entry
  • Clarity of responsibility for payment to FTI and allocation if multiple payors

Prepare and Send Invoice to Client
  • Invoice retainers, fixed fees or hourly engagements consistent with contract terms
  • Insure accuracy of data in draft invoice, e.g.:
  • Billing rates are consistent with contract
  • Outside contractor time and expenses are valued correctly
  • Tax calculation is accurate (if applicable)
  • Outstanding invoices are accurately reflected
  • Insure compliance with clients' e-billing systems, contract and/or other client-driven terms and conditions
  • Troubleshoot e-billing system to insure invoice acceptance
  • Insure necessary client notice(s) has been provided when rate increases are effected
  • Edit narratives for spelling, grammar, consistency with narrative guidelines
  • Employ appropriate formatting and insure professional invoice presentation
  • Send draft invoice in format requested (Word, Excel or PDF) by engagement leadership
  • Process write downs/ups as required, with required approval
  • Input engagement leader invoice edits
  • Finalize/send invoice to client with engagement leader approval
  • Monitor bouncebacks and troubleshoot
  • Archive all directions/approvals required for control/audit purposes in engagement folder on server

Ongoing Project Management
  • Insure receipt of retainers billed
  • Review aging WIP and A/R; prompt billing by the 13 th each month of prior month WIP; follow up as requested with engagement leadership and clients directly for timely collection
  • Prompt engagement leadership regarding annual client rate increases; communicate to client as necessary
  • Review application of payments to matters for accuracy; help resolve unallocated payments as notified by A/R
  • Provide input to engagement leadership regarding risk assessment and proposed adjustments - e.g., reserving WIP or A/R over budget; reserving A/R due to age or lack of response from client; recommending allocation of billing adjustments by region/segment

Basic qualifications
  • Associates degree preferred
  • Minimum of 3 years billing experience in a professional services or law firm environment
  • Impeccable attention to detail
  • Excellent communication skills, including verbal and written
  • Intermediate to Advanced MS Office skills (Outlook, Excel, Word)
  • Intermediate knowledge of Adobe PDF software
  • Proficiency with Salesforce (CRM), Elite (Billing), and Carpe Diem (Time Entry) is a plus
  • Basic budget management skills
  • Excellent interpersonal skills, including being a team player with capacity to work with diverse team members
  • Flexibility - ability to work under tight deadlines; ability to handle multiple tasks through prioritization and time management skills
  • Proven track record for improving process efficiencies and solving problems
