AV Project Coordinator

Overview

The role of a AV Project Coordinator is to support the Project Management Team in their day to day activities which includes coordinating activities between the PM and Client for schedule, logistics, responding to client inquiries, reporting, invoicing, and other activities as assigned.

Vision Technologies is a full-service IT/IP integration company for commercial enterprise and federal clients. Solutions include: Design, engineering, installation and support services of network infrastructure (fiber/copper cabling), audio visual systems, electronic security, network route/switch engineering, Wi-Fi, Public Safety and Cellular Distributed Antenna Systems and professional/managed services.

Responsibilities

Pre-Sales Phase Activities:
• Pull job numbers in Vision Information Management System (VIMS) and set-up folders on the network.
• Make sure all relevant information has been captured including payment method, tax exempt forms, and Authorizations to Proceed.
• Verify with PM PnL and associated documentation has been properly saved in VIMS

Planning Phase Activities:
• Creates/Supports the development of the following: SOW, BOL/BOM.
• Prepares and submits Purchase Requests to purchasing.
• Submit PO/Contract and P&L(s) to Admin and request for Project Status change.
• Participate in Internal Kick-off meetings.

Implementation Phase Activities:
• Budget tracking activities: run job cost reports
• Create Invoice Requests
• Follow up on past due AR's for resolution
• Create Change Orders in VIMS and associated tasks
• Internal project activity coordination between departments

Closing Phase Activities:
• Run closing reports: job cost reports, backlog PO reports
• Create final project invoice request
• Support warranty or maintenance registration process
• Make sure all outstanding issues have been resolved before closing the project.
• Submit client info for Customer Satisfaction Survey's each month

Qualifications

• Industry experience preferred.
• AA, higher degree in related field preferred.
• Must be proficient in Microsoft Office products, with above average skills in Excel.
• Valid driver license.
