This position is responsible for managing day-to-day practice operations, coordinating staffing, training, overseeing client billing, and client management functions for the Cybersecurity Americas practice. Other responsibilities include the following:
PRIMARY DUTIES:
Practice Operations
- Coordinate with product leadership to develop processes and procedures that ensure the efficient and seamless operation of the practice.
- Support practice leadership by liasing with Talent Acquistion and Human Resources to ensure that candidate resumes are promptly screened and the interview process goes smoothly
- Drive the onboarding process to ensure that all is ready on day one for each candidate. Conduct product orientations for new staff. Work with IT to ensure equipment is ready and any special requests have been addressed, Work with new hires and Marketing to draft bios.
- Serve as a resource for administrative staff and new hires to help them support the business by providing instruction and guidance on various administrative and business development tasks (e.g., submitting conflict checks, entering/coding expenses, making travel arrangements, and generating client documents such as presentations and reports, case studies, letters of engagement and other client correspondence).
- Work alongside Chief Revenue Officer to ensure consistent SalesForce reporting including updating SalesForce for relationships, meetings, as well as information about pipeline, backlogs, etc.
- Track the team members assignments of all specialized cybersecurity equipment
- Act as approver in Chrome River for practice expenditures.
- Plan, arrange, and execute practice development and social engagements.
- Review weekly missing time report and follow-up as necessary to ensure all time has been entered and closed for practice employees
- Coordinate office space issues with OC / Office Manager
- Manage vendor/subscription contracts for the practice to maximize value
- Manage SharePoint and update practice documents (i.e. bill rate cards, LOEs, etc.)
Client Billing Administration
- Monitor budget and track spending against budget.
- Assist with overall coordination of Billing by providing supervision, training and guidance as it relates to time entry and preparing client invoices.
- Assist supervising and billing managers in establishing time entry guidelines at the start of engagements and ensuring the engagement team complies with unique letters of engagement/master service agreement (LOE/MSA) terms.
- Train new hires with respect to billing guidelines and procedures.
- Maintain records for LOEs, MSAs, Contractor and Sub-Contractor agreements and templates.
- Maintain inventory of pricing structures and MSAs; ensure compliance with MSAs.
- Receive, approve and process Contractor invoices and ensure inclusion of fees and expenses on client bills.
- Monitor and process commission payments to contractors.
- Monitor client payments and release of payments to contractors.
Financial/Client Responsibilities
- Coordinate with Project Assistants/Billing Professionals with respect to billing and accounts receivable collection process to ensure timely billing and collection.
- Recommend and initiate follow-up action on past due receivables.
- Document follow-up action taken and responses and prepare monthly client management report.
- Prepare responses to client requests for additional billing/collection information.
- Track down required documentation for revenue recognition (e.g., LOEs, scope/budget expansion approvals).
OTHER DUTIES:
- Assist Marketing with special projects as needed.
BASIC QUALIFICATIONS:
- 10+ years work experience supporting senior-level professionals in a legal or consulting environment or equivalent experience.
- Bachelor's Degree or equivalent education background / commensurate work experience.
- Excellent verbal and written communication skills.
- Advanced proficiency in software applications such as Microsoft Office especially Word, Excel, PowerPoint; Adobe Acrobat.
- Basic budget management skills
- Good interpersonal skills, including being a team player with capacity to work with diverse team members.
- Organizational skills, including ability to prioritize.
- Flexibility - ability to work under tight deadlines; ability to handle multiple tasks through prioritization and time management skills.
- Travel required to clients and to FTI office(s).
