Job Summary:
The Office Manager will organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency and safety.
Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
Job Responsibilities:
- Point person for customer service and sales support for our sales team.
- Take orders from our customers on the phone or via email or fax
- Enter sales orders from our customers and our sales team into our system
- Coordinate with the purchasing department the inventory required for our sales.
- Coordinate the invoicing and the delivery with our sales team
- Open new customer account and maintain them up to date in our system.
- Handle customer inquiries and complaints
- Open the mail, distribute it and make the deposits to the bank
- Organize and schedule meetings and appointments
- Organize office operations and procedures
- Coordinate with IT department when service is required on all office equipment
- Provide general support to visitors
- Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Oversee adherence to office policies and procedures
- Implement procedural and policy changes to improve operational efficiency
- Prepare operational reports and schedules to ensure efficiency
- Provide Sales quotes
- Monitor and maintain office supplies inventory
- Review and approve office supply acquisitions
- Maintain a safe and secure working environment
Job Requirements:
- Proven office management, administrative or assistant experience
- Knowledge of office management responsibilities, systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills in English (French is a plus)
- Strong organizational and planning skills
- Proficient in MS Office
- Knowledge of clerical practices and procedures
- Knowledge on SAP Business environment could be an asset
