Office Manager/Dispatcher

Do you have an operations background with experience in dispatching and working with drivers? Are you a multi-tasker who likes a fast-paced environment? If so, read on!

We're currently looking for our next Office Manager/Dispatcher to make sure the Mobile Mini units are successfully delivered and picked-up from customer sites as well as ensuring the drivers are following all safety and DOT regulations. This role will supervise a team of drivers and assign their daily duties.

What You'll Do as the Office Manager/Dispatcher:
• Promote safety first for all areas of dispatch. Ensures drivers are following all safety policies and procedures and will conduct safety meetings
• Supervise team of branch and operations yard Drivers, which includes:
1. Reviews next day/week deliveries and pick-ups and develops a dispatch plan:
2. Enters all assignments into database (Descartes)
3. Notifies drivers of daily assignments
4. Tracks Drivers out on delivery/pick-up
5. Assists Drivers in troubleshooting when necessary
• Set daily and weekly priories for the team
• Conduct performance discussions and trainings
• Ensure Drivers have collected all appropriate documentation and signatures related to delivery/pick-up of units and offices and will work with the Driver and Customer if the unit/office is damaged
• Communicate with customers to assist in scheduling daily/weekly activities:
1. Inform customer of delivery/pick-up times
2. Answer customer questions about delivery/pick-up
• Maintain daily log files and preventative maintenance files and records the information into the appropriate systems. Ensure all daily/weekly/monthly paperwork is completed, recorded and filed
• Maintain branch's budgeted trucking profit margin
• Coordinate with outside vendors regarding trucking and deliveries. This will include outside hauling services, as needed, and assisting Drivers with obtaining required annual, monthly and daily city/state transportation permits
• Work with branch and corporate sales to determine driver schedule availability, and when available, can schedule deliveries/pick-ups outside of current dispatch schedule
• Manage, assign and monitor office services for the branch, such as, time keeping/payroll, accounts payable/receivable, purchase orders, filing, and reception
• Define and maintain office/administrative procedures. May manage a team of Branch Administrative employees to assist with the administrative duties, if not, will be main point of contact for Branch administrative duties and responsibilities
• Other duties as assigned

What You'll Need to be a Successful Office Manager/Dispatcher:
• High School Diploma or equivalent, some college preferred
• Familiar with standard concepts of scheduling and dispatching
• 2+ years of experience with dispatching preferred
• Ability to multi-task effectively
• Experience with SAP, Descartes, and Salesforce preferred
• Knowledge of DOT and state specific safety regulations
• Strong attention to detail and ability to problem solve
• Communicate clearly: verbal and written
• Valid Driver's License
